Summary

The Quotation Specialist supports Customer Service, Outside Sales, and Bühler Group teams by preparing accurate quotations, processing orders, coordinating internal documentation, and supporting customer growth. This role helps develop existing and new customer opportunities, contributes to monthly sales targets at appropriate gross margins, and ensures timely, professional communication throughout the quotation and order process.

The position serves as an internal coordinator from initial customer request through order receipt and delivery, working closely with customers, vendors, sales, engineering, procurement, manufacturing, finance, accounting, purchasing, and shipping.

Job Responsibilities

  • Respond to customer inquiries and direct requests to the appropriate contact when needed.
  • Understand the customers’ needs; able to accurately identify spare parts, calculate pricing, and provide detailed shipping information & documentation.
  • Prepare cost sheets, quotations, and customer proposals.
  • Coordinate with vendors, procurement, engineering, and manufacturing to obtain current pricing, lead times, and product information.
  • Price manufactured items while supporting standard margin objectives.
  • Work with outside sales engineers to develop complete and accurate proposals.
  • Follow up with customers on proposal status and provide updates on order status.
  • Review new projects with engineering as needed.
  • Review historical documentation and databases to support quotation and order accuracy.
  • Investigate quality issues & customer complaints; understand the root cause and implement quality gates to prevent recurrence.
  • Participate in departmental training and continuous improvement efforts
  • Other tasks as deemed necessary by management.

Qualifications

Job Specifications

  • Bachelor’s degree is a plus but not required.
  • 1–3 years of inside sales, customer service, or related experience preferred.
  • Proficiency in Microsoft Office Suite with exceptional verbal, written, and communication skills.
  • Experience with business systems such as SAP and CRM
  • Mechanical mindset with aptitude for navigating the Windchill environment to access, interpret, and process engineering drawings, CAD models, and BOMs
